1. Introduction

Shishyams ("Shishyams", "we", "us", "our") is a multi-tenant management platform operated by Gurushishya Multiskills Pvt. Ltd. that helps educational institutes manage students, staff, fees, attendance, communication and their public website from a single login. This Privacy Policy explains what information we collect through the platform, how it is used, and the choices available to you.

By creating an account, registering an organization or institute, or otherwise using Shishyams, you agree to the collection and use of information as described here.

2. Who This Policy Covers

Shishyams is used by several types of people, and this policy applies to all of them:

• Organization & institute admins who register an institute and manage its data.
• Staff — teachers, reception, counsellors and other institute employees added by an admin.
• Students and parents, whose records are added to the platform by their institute.
• Website visitors browsing an institute's public website hosted on Shishyams (e.g. enquiry forms, admissions pages).

Institutes act as the data controller for the student, parent and staff records they enter into the platform; Shishyams acts as the data processor that stores and operates on that data on the institute's behalf.

3. Information We Collect

Account & institute information: name, email, phone number, address, and institute/organization details provided at registration.

Student, parent and staff records: information entered by an institute's admin or staff, such as names, contact details, admission and academic records, attendance, exam results, fee and payment history, and ID/CV documents where applicable.

Payment information: when fees or subscription payments are made via UPI or other integrated payment gateways, transaction references and payment status are recorded. Card or bank credentials are handled by the payment gateway itself and are not stored on Shishyams servers.

Website & usage data: pages visited on an institute's public website, admission enquiry and contact form submissions, and device/browser information collected automatically (e.g. IP address, browser type) for security and analytics purposes.

Communication data: messages sent through in-platform notifications, WhatsApp or chatbot widgets, and push notification subscriptions where a visitor opts in.

Cookies & local storage: used to keep you signed in, remember preferences, and support progressive-web-app (PWA) install and notification features.

4. How We Use Information

• To provide, operate and maintain the platform's core modules (academics, attendance, fees, HR, communication, and the institute website builder).
• To process fee and subscription payments and maintain accurate billing records.
• To send transactional communications — account notices, fee reminders, admission enquiry responses, and service updates.
• To send optional push notifications or WhatsApp/chatbot messages a visitor or user has explicitly opted into.
• To maintain platform security, detect abuse, and troubleshoot technical issues.
• To improve platform features based on aggregated, non-identifying usage patterns.

5. Children's Data

Because Shishyams is used by schools and coaching institutes, some records (students) belong to minors. This data is entered and controlled by the institute, not collected directly by Shishyams from children. Institutes are responsible for obtaining any parental consent required under applicable law before entering a minor's information into the platform. We recommend institutes review this policy with parents/guardians as part of their own admission and privacy communication.

6. Sharing of Information

We do not sell personal information. Data may be shared only in the following circumstances:

• Within an institute: student/parent/staff data is visible to the relevant institute staff based on their assigned role and permissions.
• Payment processors: transaction details necessary to process a UPI/fee payment are shared with the integrated payment gateway.
• Optional integrations: where an institute admin connects a third-party service — for example Google Drive for gallery storage, or WhatsApp for chat — data needed to operate that integration is shared with that provider under its own terms.
• Legal requirements: where disclosure is required to comply with a law, regulation, or valid legal process.
• Service providers: infrastructure and hosting providers who process data solely to keep the platform running, under confidentiality obligations.

7. Data Security

We use reasonable technical and organizational measures — including access controls, role-based permissions, and encrypted transmission — to protect data against unauthorized access, alteration, or loss. No system can be guaranteed 100% secure, and users are encouraged to use strong, unique passwords and keep login credentials confidential.

8. Data Retention

Institute data is retained for as long as the institute's account remains active, plus a reasonable period afterward for legal, accounting, or backup purposes. An institute admin may request deletion of specific records or full account closure by contacting us; some information may be retained where required by law.

9. Your Rights & Choices

• You may request access to, correction of, or deletion of personal data associated with your account by contacting your institute admin (for student/parent/staff records) or Shishyams directly (for organization/account data).
• You may withdraw consent to optional push notifications or WhatsApp/chatbot messages at any time through the relevant opt-out control.
• You may disable non-essential cookies through your browser settings; this may limit some platform features.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our platform or legal requirements. The "Last updated" date at the top of this page will reflect the most recent revision. Continued use of Shishyams after an update constitutes acceptance of the revised policy.
